Mail merge with different wording for each row
In Word, conditional wording needs IF…THEN…ELSE merge fields (Mailings → Rules). In RowDraft you highlight the wording and set a plain rule — like "only when Client is a company, otherwise use 'an individual,'" — and it switches automatically for each row.
A common example
A company signs as "a business entity, represented herein by its authorized representative," while a person signs as "an individual."
Other examples: a clause only for certain states, a fee line only when a fee is filled in, or his/her wording.
The Word way: IF fields
- Click where the wording goes, then Mailings → Rules → If…Then…Else.
- Pick the column, the comparison, and the value, then type both versions of the text.
- Toggle field codes (Alt+F9) to check the result. Nested or long IF fields are easy to break.
The RowDraft way: highlight and pick a rule
- Highlight the wording in your document and choose Include only when….
- Pick a rule: a column is a company, trust or estate; is a person; is exactly (or is not) a value; contains a value; or is filled in or blank.
- Type the other wording to use when the rule doesn't match — or leave it blank to remove the text.
- RowDraft shows how many rows get each version, and you can preview any row.
RowDraft recognizes LLCs, Inc., Corp., trusts, partnerships, P.C.s and similar names as companies automatically.
